The Full Order Lifecycle
Managing agent orders is more than just tracking prices. A complete sugargoo spreadsheet should guide you through every stage from discovery to delivery. This guide maps the entire lifecycle and shows you exactly what to record at each step.
Stage 1: Discovery and Research
When you find an item you want, paste the link into your sheet immediately. Add the item name, color, size, and estimated price. Set the status to "Researching." This stage is about capturing interest before you forget. Many shoppers lose great finds because they wait to paste the link later.
Stage 2: Purchase and Payment
After buying through your agent, update the status to "Ordered." Add the actual price paid in CNY. Note the payment method and transaction ID. If you bought multiple items in one order, create a separate row for each item so you can track them individually even if they share a single order number.
Stage 3: Warehouse Arrival
When your agent confirms the item arrived at the warehouse, update the status to "In Warehouse." Add the warehouse arrival date. Calculate the warehouse deadline by adding thirty days to the arrival date. This deadline is your most important date because missing it triggers storage fees.
Stage 4: Shipping and Tracking
Once you submit the international shipping request, update the status to "Shipped." Add the shipping method, the tracking number, and the shipping cost. Paste the tracking number into a dedicated column so you can copy it quickly when checking carrier websites.
Stage 5: Delivery and Review
When the item arrives, update the status to "Delivered." Add the delivery date. In the Notes column, write a quick review: quality rating, sizing accuracy, and whether you would buy from the seller again. This review becomes priceless when you are deciding whether to reorder six months later.
Stage 6: Archive and Analysis
Move the completed row to your Archive sheet. Calculate the total days from order to delivery. Review your monthly spending. Look for patterns like which agents ship fastest or which sellers have the best quality. This analysis turns your data into wisdom.
